Report checklist

What to document before leaving the job

A useful report gives the customer a clear record without pretending to be a permit, inspection certificate, or technical certification.

  1. 01Property, unit or work area, customer or manager, technician, date, and work order.
  2. 02The reported issue and access condition when relevant.
  3. 03The arrival condition before cleaning, adjustment, repair, or replacement.
  4. 04Work completed and materials or parts that matter for the maintenance record.
  5. 05Conditions observed outside the authorized scope, stated without speculation.
  6. 06Final operational or visual status after the work.
  7. 07Recommended follow-up with a clear priority or timeframe when known.
Photo sequence

Use photos that explain the job, not just prove you were there.

Wide context, close detail, and a final result are usually more useful than several nearly identical pictures.

1

Location context

Identify the room, unit, exterior area, or asset being serviced.

2

Before condition

Show the defect, damage, wear, debris, or maintenance need before work.

3

Work detail

Capture a meaningful repair stage or replaced component when useful.

4

After condition

Show the completed result from a comparable angle whenever practical.

Example wording

Short, factual notes customers can understand

State what was reported, what you observed, what you did, and the condition when you finished. Avoid conclusions you did not verify.

Work performedSecured the hinge with appropriate fasteners, adjusted the door, and cleaned the immediate area.
