Create a report in minutes
Closeout Snap works in the browser on an iPhone, tablet, or computer. You do not need an account or an app-store download.
Make your first report
- Open Create a Free HVAC Report and enter the customer name and work performed. Those are the two required fields.
- Use Add Before Photos or Add After Photos. You can select several photos at once, up to six total in the free beta.
- Check the category shown on each photo, add a short caption, and use Earlier or Later to arrange the order.
- Add findings, final status, and recommendations when they help the customer understand the work.
- Optionally enter the customer's name and sign on the screen.
- Tap Create PDF, then Download PDF or Share PDF. Review the PDF before sending it.
Company name and logo
In Job Details, enter your company name and optionally choose Upload Logo. PNG, JPG/JPEG, and WebP logos are accepted, up to 2 MB. Check the preview, use Replace Logo to choose another image, or Remove logo to leave it out. Branding is free during beta.
Logos are processed and resized locally, and may be saved with your browser draft. If the format is unsupported, choose PNG, JPG, or WebP. If the file exceeds 2 MB, export a smaller image. If it is corrupt or unreadable, try another file. You can always continue without a logo.
Job photos will not add
- Use an image your browser can open, such as JPG, PNG, or a supported iPhone photo.
- Each job photo must be 25 MB or smaller. This is separate from the 2 MB company-logo limit. HEIC support depends on your browser; convert to JPG if it cannot open the image.
- The free beta allows six photos per report. Remove one before adding another.
- If a cloud photo has not downloaded to the device yet, open it in Photos first and try again.
- If one item fails during a multi-select, add the remaining photos and retry the failed image by itself.
Voice dictation
- Where supported, choose Tap to speak beside a narrative field or photo caption. Allow microphone access, speak a short factual note, then tap Stop. Check the words and edit normally.
- Each note is added to the existing text. Only one field listens at a time. Cancel discards the current spoken note without changing the earlier text. Typing while listening cancels that spoken note so it cannot overwrite your edits.
- If controls are unavailable, use the microphone on your phone or tablet keyboard, desktop dictation, or type. On Safari, check microphone permission and that Siri or Dictation is enabled. If no speech is detected or the speech service cannot connect, retry or keep typing.
- Browser or device speech services may process audio remotely under their own privacy terms. Closeout Snap does not record or store the audio. Resulting text follows the normal local draft behavior.
The PDF will not download or share
- Tap Create PDF first and wait until the Download and Share buttons appear.
- On iPhone, Share PDF should open the iOS share sheet. If it does not, use Download PDF, open the file, and use Safari's Share button.
- Allow pop-ups or downloads for the site if your browser blocks the file.
- Your current report remains on the page if PDF creation fails. If you see a storage warning, keep the page open and download the PDF before leaving.
Drafts and privacy
The current draft is saved in that browser when storage is available. It does not automatically follow you to a different phone or computer. Download the completed PDF for a permanent copy. Use New report to clear the customer details, photos, signature, and generated PDF before starting another job. Company name, company logo, and technician name are retained locally for the next job. Remove the logo in Job Details to forget it. Clear site data in browser settings to remove those too. Editing a report clears the old PDF; create it again to include your changes.
What to include in beta feedback
Tell us the device and browser you used, what you were trying to do, what happened, and the exact error message. Do not attach real customer photos, signatures, or sensitive job information; use a sanitized example when possible.
